Though most office tasks are done in the digital way, there are still a lot of occasions when paper document are needed. Sometimes paper files are more convenient than digital editions, and you can’t deny that it is more comfortable to read contents in paper than on the electronic screen. While most digital content can be printed by a printer, there are still some document files require scanning. Therefore, a good document scanner is necessary.

Choosing the right document scanner can be a little tricky. It may not as simple as you think, but having a good understanding of document scanners can make the purchasing task a lot easier. And to help you out, we’ve assembled some key factors while choosing the best document scanner.

Scanning Material

First of all, ask yourself what you need to scan the most and how often. Bearing this in mind will help you know what features you expect for the document scanner. As a matter of fact, there are two most common things you may want to scan: documents and photos. Yet you may also want to scan other stuffs such as business cards, magazines, catalogs, brochures, flyers and books.

Colored or Black-and-white

If your purpose is to scan words without pictures and just need it to be black-and-white, a common document scanner can do. But if you want to scan photos or documents with colored images, then you may need to choose a colored model.

Resolution

Most modern document scanners can offer more than 600 pixel-per-inch resolution, which outperforms the ordinary requirement for quality scanned files. Normally 200ppi is good enough while 300ppi can offer better result. But if you have a higher demand of resolution for photos, stamps or something like that, a scanner with no less than 4,800ppi is suggested.

Flatbed

A flatbed is a must if you want to scan photos, material that are easily damaged, or 3D objects. Though photos and stamps can go through a sheet feeder, there is a chance that they get damaged. In this case, a sheet-fed scanner that comes with a plastic carrier can protect the original material. Yet using the plastic carrier could degrade the scanning quality.

Duplex

If you have the need to scan duplex documents (printed on both sides) on a regular basis, then a duplexing scanner, duplexing ADF, or a scanner with a driver that includes a manual duplex feature should be your first choice.

Built-in Programs

If you expect for more features from the document scanner, for example, optical character recognition (OCR), text indexing or photo editing, you should check if that scanner comes with such software programs.
